Disrepair enquiries go cold in hours. Ours get a call in seconds.
We supply genuine claimant enquiries and follow every one up instantly with VoiceAI. Tenants are qualified on the questions your firm actually needs answered, and a case is created in Proclaim or your system with the recording attached. Live in your firm within 2 to 3 weeks.
Volume, speed and scrutiny, all at once.
Housing disrepair is not like other legal work. Enquiries arrive in bursts, many claimants are hard to reach in office hours, and the sector is under a regulatory spotlight. Each of those pressures needs its own answer.
Seasonal surges
Damp, mould and heating problems get worse as the weather turns. Autumn and winter bring the peak in enquiries, and firms that cannot respond fast enough watch claimants go elsewhere.
Contact windows
Many tenants work shifts or care for family and are easiest to reach in the evening. A firm that only calls back between nine and five misses them.
Regulatory attention
The SRA has warned firms about how disrepair claims are marketed and how clients are onboarded. Lead quality and transparency are no longer optional extras.
From enquiry to qualified case, automatically.
Our EngageAI team deploys a VoiceAI follow-up system packaged for HDR firms. Any lead source plugs into it: our campaigns, your own website, or another supplier.
Enquiry lands
A form, call or lead feed creates a record in Proclaim or your case management system with a unique client ID.
Instant call
VoiceAI rings the tenant straight away, discloses that it is an AI assistant and starts qualification while the problem is front of mind.
Qualify
Your disrepair questions are asked in plain English, answers are captured, and the call is recorded.
Hand over
Recording and notes attach to the case, events fire, and your team picks up claimants who meet your criteria.
The questions that matter in disrepair
A generic “tell us about your problem” script wastes everyone’s time. We build the VoiceAI conversation around the facts an HDR firm needs before a fee earner gets involved. Your firm sets the final criteria, but a typical call covers:
| Area | What the agent establishes |
|---|---|
| Tenancy type | Whether the tenant rents from a council or housing association (social housing), or privately, if your firm takes those cases |
| The issues | Damp and mould, leaks, heating or hot water failures, broken windows or doors, electrics, structural problems |
| Reporting | Whether the problem has been reported to the landlord, how and roughly when |
| Timescales | How long the disrepair has gone on and whether the landlord has visited or attempted repairs |
| Impact | Effect on the household, such as damaged belongings or health concerns the tenant wants to mention |
| Your extras | Any further screening your firm uses, such as rent account status or who is named on the tenancy |
The agent does not tell anyone they have a claim. It gathers facts, explains what happens next and that a member of the legal team will review the details. That keeps expectations honest and leaves the legal judgement where it belongs.
Awaab’s Law has raised the stakes
Awaab’s Law came into force in England on 27 October 2025 for social housing. It sets legal timescales for social landlords to investigate and fix emergency hazards and significant damp and mould. A second phase, extending the duties to further hazards, follows from October 2026.
Tenants are more aware of their landlord’s duties, and the SRA has reminded firms to revisit its guidance on marketing and client onboarding in the light of the new law. For HDR firms, that combination means more enquiries and more scrutiny of how those enquiries are won. Speed and transparency have to go together.
Lead generation: genuine claimants only
If you want more enquiries as well as better follow-up, we run disrepair campaigns through comparison sites and paid social. Every lead is certified: the tenant has either replied to an SMS or spoken to us to confirm their details and that they want help. Each lead is exclusive to your firm and arrives in real time.
- No door-knocking, no cold calling tenants. Tenants come to us through advertising and opt in.
- Consent recorded for every lead, SMS and call, under UK GDPR and PECR.
- Plain-English messaging that does not overpromise compensation or outcomes.
- 72-hour replacement if a lead does not meet the criteria we agreed.
Pricing for disrepair campaigns is agreed per campaign after a discovery call, pay per lead or pay per appointment. No set-up fees or retainers on lead generation. Prices ex VAT.
Know which leads turn into cases.
Many HDR firms buy from several suppliers and cannot say which ones produce cases that settle. We fix that. A lead source and cost-per-case audit tracks every enquiry from source to outcome, so you can stop paying for volume that never converts.
We also review your intake process against the questions a regulator might ask: how claimants found you, what they were told, how consent was captured and how quickly they heard from you.
A typical consultancy brief
- Map every lead source and its true cost per case
- Check claimant journey and messaging for clarity
- Review onboarding steps and consent records
- Plan intake capacity for the autumn and winter peak
- Integration roadmap for Proclaim or your system
Questions HDR firms ask us.
How fast does VoiceAI call a new enquiry?
Immediately. As soon as the enquiry creates a record, the VoiceAI agent calls the tenant, so they hear from your firm while the problem is still front of mind, including evenings and weekends.
Can it plug into leads we already buy elsewhere?
Yes. Any lead source can feed the system, whether that is your website, our campaigns or another supplier. Each enquiry gets a unique client ID in your case management system.
Do you only support Proclaim?
No. Proclaim is a common choice for HDR firms and we integrate with it directly, but we also connect to other case management systems and CRMs.
How do you make sure leads are genuine?
Tenants opt in through advertising, and every lead is certified: the tenant has replied to an SMS or spoken to us to confirm their details and interest. We do not door-knock or cold call tenants, and consent is recorded for every lead.
Does the AI tell tenants they have a claim?
No. It gathers the facts your firm needs, explains what happens next and says that the legal team will review the details. Legal judgement stays with your qualified staff.
How long does it take to go live?
The HDR system is typically live in a firm within 2 to 3 weeks, depending on your case management system and the qualification questions you want to use.
What if a lead does not meet our criteria?
Report it within 72 hours and we replace it. That replacement is measured against the criteria we agree with you before the campaign starts.
